Tilstra Trainees develop onboarding and learning system at Salary & HR team

From temporary support to structural improvement

"Do you have time for a cup of coffee? We want to hold something against you."

With that question, two trainees from Tilstra Services started a conversation with their team coordinator. What started as a temporary assignment to support the team during the busiest period of the year, eventually led to the development of a newonboarding and Learning Management System (LMS)for the Salary & HR team.

Extra capacity during peak payroll administration

Within the teamSalary & AdviceThe first months of the year traditionally coincide with a peak in work. Consider:

  • annual work within payroll administration
  • implementations of new customers
  • onboarding of new employees

To handle the workload, experienced independent professionals are normally hired.

This time the team opted for a different solution: the use of twoTilstra Trainees.

Tim Muller and Jonathan Roose, trainees within theTilstra Traineeship Payroll Administration, had just completed their induction period and started the trainingBasic knowledge of Payroll Administration (BKL). Their assignment was clear: to support the team during the peak in work.

The use of trainees proved to be effective not only in terms of workload. By deploying detrainees, the additional turnover that was achieved during this busy period could be achieved with onesignificantly higher marginthan when external professionals were hired.

Trainees identify opportunities for improvement in onboarding

During their work, Tim and Jonathan noticed something. The onboarding of new employees could be organized more efficiently. In addition, there was a lack of a central place where knowledge, training and guidance come together.

  • knowledge is spread across documents and colleagues
  • new employees need time to find their way
  • Guidance takes a lot of time from experienced colleagues

The trainees saw this as a clear opportunity for improvement.

Development of an onboarding and Learning Management System

The distribution is deliberately arranged:

  • 80% completion of the assignment
  • 20% improvement of processes

Tim and Jonathan decided to use that 20% to develop a solution.

A surprise for the team coordinator

Remarkably, their client and team coordinator Maikel initially knew nothing about this. Only after the system had been tested and functioning together with the Tilstra Talent Community did the trainees ask him for a short consultation.
